Moving prices can feel mysterious, and in parts of the industry that is on purpose. A low teaser quote grows on moving day as fees appear for stairs, a long walk to the truck or items that were never listed. The best defense is understanding how a fair price is built. Once you know the variables, you can compare estimates properly and spot the one that is leaving something out.

Weight and Distance

For interstate moves, the core of the price is how much you are moving and how far it is going. Weight, or the volume it takes up in the truck, drives labor, fuel and the space your shipment occupies. Distance determines transit time and road costs. You cannot change the distance, but you have real control over weight.

The cheapest pound to move is the one you leave behind. Sell, donate or discard what you will not use before your survey, so you are never quoted for it.

The Factors That Change Your Estimate

FactorWhy it changes the priceHow to keep it down
Season and dateSummer, month-end and weekends are in highest demandChoose off-peak months and mid-month weekdays
Access at pickup and deliveryStairs, elevators, long walks from the truck and narrow streets add timeReserve elevators, secure parking, describe access accurately
Shuttle serviceA smaller truck is needed when a big trailer cannot reach the doorAsk early whether your street needs one so it is in the estimate
PackingProfessional packing adds labor and materialsPack sturdy items yourself, leave fragile ones to the crew
Specialty itemsPianos, safes, large art and pool tables need extra crew or equipmentList them during the survey
StorageHolding goods between homes adds monthly and handling costsLine up closing dates when possible
Valuation levelFull Value Protection may carry a chargeChoose the coverage that matches what you own
Vehicle shippingOpen or enclosed auto transport is priced separatelyDecide early whether to drive or ship

Why the Calendar Matters So Much

Most families want to move in summer, when school is out. Demand for trucks and crews peaks from late spring through August, and prices follow. January, February, October and November are typically the least expensive months to move out of California. See our month-by-month guide for the full picture.

How the Type of Estimate Affects What You Pay

Binding estimate

The price is set for the inventory and services listed. If the shipment weighs more than expected, the price does not change. Adding items or services can change it.

Non-binding estimate

The final price is based on actual weight and services. Federal rules limit what you must pay at delivery to 110% of the estimate, with any balance billed later.

Either type is only as good as the inventory behind it. That is why a video or in-home survey matters. Read our guide to FMCSA rules for more on estimates and your rights.

How to Spot an Incomplete Quote

  • The quote was given in minutes over the phone with no inventory
  • Stairs, elevators or long carries were never discussed
  • Nobody asked where the truck would park at either address
  • Packing materials are listed vaguely or not at all
  • The company will not say whether the estimate is binding or non-binding
  • A large deposit is demanded before anyone has seen your home

Practical Ways to Pay Less

  1. Declutter before the surveyYour estimate reflects only what you are actually moving.
  2. Be flexible on datesGive your coordinator two windows so you can compare prices.
  3. Prepare accessBook elevators, clear driveways and secure parking so the crew is not waiting.
  4. Split the packingPack books, linens and clothes yourself and hire packing only for fragile rooms.
  5. Ask for a binding estimateIt sets your price before the truck is loaded.

What is the biggest factor in a long-distance moving price?

The size of your shipment, by weight or volume, combined with distance. Season and access come next.

Why are moving quotes so different from one company to the next?

Usually because they are based on different inventories or leave out access fees. Compare estimates line by line, built on the same inventory.

Does moving on a weekday cost less?

Often, yes. Mid-month weekdays tend to have more availability than weekends and month-end dates.

Is protection included in the price?

Released Value Protection is included at no extra charge. Full Value Protection is available for more complete coverage.
