Gated neighborhoods from Hidden Hills and Calabasas to Rancho Santa Fe, Coto de Caza and the planned communities of the Inland Empire share one thing: the HOA decides when and how a moving truck can come in. When those rules catch a family by surprise, the crew waits at the gate while the clock runs. When they are handled early, a gated move feels like any other.

Five Things HOAs Commonly Control

Move windows

Many associations allow moves only on weekdays or within set hours. Some ban Sunday moves entirely or require a reservation.

Gate entry

Guards usually need the company name, vehicle details and sometimes crew names in advance. An unlisted truck can be held at the gate.

Vehicle size

Narrow private streets, tight cul-de-sacs, low tree canopy or weight-limited bridges may keep a full-size tractor-trailer out.

Insurance paperwork

A certificate of insurance naming the association as additional insured is a common requirement before access is granted.

Common-area protection

Condo-style gated buildings often require elevator pads, floor runners and a refundable deposit against damage.

The Gated Move Approval Timeline

  1. 4–6 weeks out: read the rulesAsk the management company for the current move policy in writing. Look for hours, notice periods, truck limits, deposit amounts and insurance wording.
  2. 3–4 weeks out: share details with your moverSend the policy to your moving coordinator so the truck size, crew size and start time are planned around it from the start.
  3. 2–3 weeks out: submit formsFile the move request, pay any deposit and send the certificate of insurance. Confirm the HOA has received everything rather than assuming it has.
  4. 1 week out: confirm the gate listGive security the moving company name, date, arrival window and a contact number. Ask how the guard station prefers to verify the crew.
  5. Moving day: be reachableKeep your phone on in case the gate calls. Walk the common areas with the crew lead before and after loading.
Do not forget the other end. If you are moving into an HOA community in Arizona, Texas or Nevada, the destination association may have its own rules, deposit and insurance form. Start that request at the same time.

When the Truck Cannot Reach the Door

Long-distance household moves typically travel on large trailers. If the community restricts truck size, the usual answer is a shuttle: a smaller truck carries your goods between the house and the main trailer parked at an approved spot outside the gate. It adds handling and time, so it should be priced into your estimate, not discovered on the day.

Tell your coordinator about gate clearances, steep driveways, long walkways and stairs during the survey. A short video of the route from the gate to your front door is the easiest way to capture this. Our home prep guide covers what else to show during a walkthrough.

Gated Move Checklist

  • Written copy of the HOA move policy
  • Move date reserved with management
  • Certificate of insurance requested from the mover and accepted by the HOA
  • Refundable damage deposit paid and receipt saved
  • Gate list submitted with company name and arrival window
  • Truck size or shuttle plan agreed with your mover
  • Elevator or clubhouse areas padded if the building requires it
  • Destination HOA rules requested and filed

Choosing a Day That Works for Everyone

Weekday mornings are usually the easiest slots inside gated communities. Landscaping crews, deliveries and residents' traffic peak later in the day. If your dates are flexible, January, February, October and November tend to offer the most availability and the lowest rates, often up to 35% less than summer. See the month-by-month timing guide for detail.

Larger homes in gated areas often hold fine furniture, art and pianos. Consider white-glove service for room-of-choice placement and careful handling, and review Full Value Protection rather than relying only on the included Released Value Protection.

Who requests the certificate of insurance?

You request it from the mover and pass it to the HOA, or the mover sends it directly once you share the management company's contact and the exact wording required.

Can a full-size moving truck enter my community?

It depends on street width, turning space and HOA rules. If not, a shuttle truck moves items between your home and the main trailer.

What happens if the crew is not on the gate list?

They may be held until security reaches you. Submitting names and the arrival window a week ahead avoids this.
